This policy explains what DentalTrak collects through this website and the DentalTrak portal, how it is used, and how to reach us about it. Last updated September 15, 2026.
The short version
Information you give DentalTrak, whether through a form on this website, the Smile Simulator, or the DentalTrak portal, is used only to provide the service you asked for. We do not sell it, rent it, trade it or share it with any third party for their own use. Ever.
What we collect
Website forms. When you request a demo or ask to get started, we collect your name, practice or laboratory name, email address, phone number if you provide it, and anything you write in the message field. This is sent to info@dentaltrak.com and used to reply to you.
Smile Simulator. When a visitor to a practice website uses the Smile Simulator, the uploaded photo, the generated preview and the contact details they enter are stored in that practice's DentalTrak account so the practice can follow up. They are visible only to that practice.
The DentalTrak portal. Practices and laboratories submit case information, scans, photos, prescriptions and messages to fulfil dental laboratory work. This information belongs to the practice or laboratory that entered it and is used only to produce, track and invoice that work.
Technical data. Our servers keep standard access logs (IP address, browser type, pages requested) for security and troubleshooting. This website does not use advertising trackers.
How we use it
To respond to your enquiry, set up and operate your account, match a practice with a laboratory partner, route and track cases, send service notifications, and keep the platform secure. If you sign up for product updates we email you about DentalTrak and nothing else, and every email has an unsubscribe link.
Who can see it
Only DentalTrak staff who need it to provide the service, the practice or laboratory you are working with on a case, and the infrastructure providers that host the platform under contract with us. Those providers process data on our instructions and are not permitted to use it for any other purpose. We do not share your information with advertisers, data brokers, marketing partners or any other third party.
Patient information
Case records in the portal may contain protected health information. DentalTrak handles it under a Business Associate Agreement with each practice and laboratory, encrypts it in transit and at rest, restricts access by role, and logs every access. Practices and laboratories remain responsible for obtaining any patient consent their own policies require.
How long we keep it
Enquiry details are kept for as long as needed to respond and follow up. Account and case data is kept for as long as the account is active and for the period required by law or by the practice's or laboratory's own record keeping obligations, then deleted. You can ask us to delete your enquiry details at any time.
Your choices
You can ask what information we hold about you, ask us to correct it, or ask us to delete it, by emailing info@dentaltrak.com. We reply the same business day.
Changes
If this policy changes, the date at the top of this page will change with it. Material changes will be announced to account holders by email.
